Federal Services Contractor

A federal contractor with a steady win history had no way to catch new opportunities the moment they posted. Now it does, and it drafts the response too.

THE CHALLENGE

This client's work has come from long-standing relationships, plus whatever proposals they could get to when they had the time to bid. New federal RFPs post constantly, and nothing was watching for the ones outside those existing relationships. Catching one meant someone checking manually, then starting a proposal from a blank page.

GOALS
  • Catch every matching RFP the moment it posts, not whenever someone has time to check.
  • Cut proposal turnaround from starting blank to reviewing a draft.
  • Reach opportunities outside their existing relationships without adding headcount.
WHAT WE BUILT
  • Built a monitor that checks SAM.gov on a set schedule for RFPs matching the client's target work.
  • Connected it to a library of the client's past proposals, so a new draft starts from real context instead of a blank page.
  • Set it up to draft a first-pass proposal automatically the moment a match hits, ready for the client to review and adjust.
  • Tested it against a range of keywords and past RFPs to confirm it finds the right opportunities and drafts them correctly, then pointed it at the client's actual target criteria.
RESULTS
  • The monitor is live and checking SAM.gov on schedule.
  • Tested against multiple keyword sets and past RFPs — it found the right opportunities and drafted them correctly.
  • Now pointed at the client's real target criteria and waiting on the next matching RFP to post.
  • Built in under a week.
